    Problem

Practice owners needed consistent marketing while staying around 80% billable, and most had never built anything with AI.

    What we built

    • • An AI marketing assistant for every practice owner in the room, built live
    • • Social posts and client newsletters written in each practice's own voice
    • • Checks against AHPRA and each discipline's code of conduct, built in
    • • A content plan for the following week, made on the day

    Outcome

    • ✔ All 60 practice owners left with their own working assistant
    • ✔ Practices started posting consistently, many for the first time
    • ✔ Five stars from the attendees

    The Situation

    Where things stood

Private Practice Success helps allied health practice owners build practices that don't depend on them being in every room. Each year its founder, Gerda Muller, brings group practice owners together for a two-day business intensive, all looking for ways to streamline their practice and get time and capacity back.

Their biggest squeeze is marketing. To look after their clients and run a profitable practice, owners aim to stay around 80% billable, and that leaves very little room for anything else. So marketing becomes the thing that's always behind: some weeks a post goes up, most weeks it doesn't, and nobody's sure what to post next.

"We feel like we have to be slaving through all of these hours every day, Every week, just to kind of keep it treading water, Which we do, But that's not it's not sustainable."
    Erin, Mindful Psychology

So Gerda asked for something simple and highly effective: a way for every practice owner to walk out with an assistant that plans, researches and writes their marketing each week, keeps it AHPRA compliant, and leaves them only to review and post.

Before the day, 29 practice owners answered a short survey. Together they were spending about 64.5 hours a week on marketing, more than 3,000 hours a year. And they wanted three things:

    • 17 wanted to save time on marketing
    • 17 wanted to sound like themselves, not generic AI
    • 16 wanted to feel confident their content was AHPRA compliant

    The Bottleneck

What was actually in the way

The room was brand new to building with AI. Some had chatted with ChatGPT, but nobody had trained an assistant to do a real job in their practice.

    • There was no plan, so every week started with "what do I post?"
    • Writing happened in whatever time was left after clients, which usually meant none
    • Every post had to be checked against AHPRA and their discipline's rules first
    • Generic AI wrote in a voice that sounded like nobody, and forgot everything between chats

The result was marketing that started and stopped, and a constant feeling of being behind.

    The Fix

    What we built

    1. The preparation. In close consultation with Gerda, Nina built an AI marketing assistant kit for allied health. It covers the AHPRA advertising guidelines, each discipline's code of conduct and the NDIS code.

    2. On the day. Nina taught the framework: how to train AI rather than chat with it, and the building blocks every assistant needs. Then, rather than building from scratch, each practice owner installed the kit in Claude and customised it. It interviewed them about their practice, their clients and their voice, and turned the answers into a business profile and a voice guide. Then each one created a week of marketing content: posts and a client newsletter, every draft checked against AHPRA and their discipline's rules, ready to review and post.

Within 90 minutes, every person in the room had finished, with a full week of content and their own marketing assistant running.

    Tool layer

    • Claude: the assistant
    • The allied health marketing assistant kit: rules, voice interview and content engine

    The Outcome

    What changed

    • ✔All 60 practice owners left with their own working marketing assistant
    • ✔Every one finished the session with a full week of content ready to post
    • ✔Practices that had never posted consistently started posting every week
    • ✔Several practice owners came back afterwards to spend a full day with Nina, building more assistants for their admin and their teams

    The Human Payoff

    What it actually meant

The room walked in feeling behind on marketing, unsure what to post, and new to AI. They walked out with an assistant that plans their week, writes in their voice and knows their rules.

"So when I did the training and I came back in the last two weeks we've had three posts a week."
    Malini, Co-founder, Change for Life
"Doing the marketing assistant with you at the conference was really great. So I'm like, okay, so we've got a marketing guy. Who? What other guys can we get? Like, let's just get more guys."
    Erin, Mindful Psychology

And from the team who ran the event:

"Firstly, thank you so much for an incredible session! Loved your energy!"
    Kelley, Private Practice Success
